Facility Use

Carlsbad Unified School District is pleased to support private groups by providing facilities for their events for a fee. All school-related activities shall be given priority in the use of facilities and grounds under the Civic Center Act. Thereafter, the use shall be on a first-come, first-served basis of completed requests. The calendar will open to outside (non-CUSD) organizations at the start of our fiscal year, July 1st. All outside (non-CUSD) requests entered prior to July 1st will be denied. Patrons are not permitted to enter the facility prior to the agreed start time and must exit the facility by the agreed ending time. Please note that all District facilities and grounds are closed (and not available for any events) on District Observed Holidays. All requests that fall upon a District Holiday will be denied. How to become an approved organization to rent a District Facility

Prior approval as an organization is required before any rental application requests can be submitted. For non-profit organizations, please submit a copy of your 501C3 Letter of Approval in order to receive the non-profit rate. All applications must be submitted through the District website.

 

How to request a rental in a District Facility
First, check the calendar (link below) to ensure the requested dates are available. If your date is available, submit your application request. All applications must be received at the District at least three weeks in advance of the requested date. Patrons are not permitted to enter the facility prior to the agreed start time. If you require additional time to setup and breakdown your event, your request shall include that time in your application request.

 

The District cannot guarantee approval on all submitted application requests. All requests are on a first come, first serve basis. For rental requests during the months of June, July and August, requests must be submitted by May 10th.

Cultural Arts Center and Performing Arts Center

The Cultural Arts Center is a district facility located on the Carlsbad High School campus. It boasts a wide array of equipment and fly system options to support a variety of events. The house, or audience, contains 406 seats. The 36ft x 40ft stage has 16ft proscenium walls with a 17ft fly loft above it. The many available lighting instruments allow for various looks to be achieved while the arena sound system creates dimension for performers as well as presenters. When renting the facility keep in mind that backstage areas and dressing rooms can be limited and therefore events with more than 40 performers may be required to submit an additional School Dude request for use of adjacent classroom space at Carlsbad High School (subject to approval by the CHS administration and additional fees). Patrons are not permitted to enter the facility prior to the agreed start time and must be out of the facility by the agreed end time on School Dude. The calendar for the Cultural Art Center will open to outside (non-CUSD) organizations at the start of our fiscal year, July 1st. All outside (non-CUSD) requests entered prior to July 1st will be denied.

 

The Cultural Arts Center will be open through July 1st 2018, then it will close for renovations. Operations and events will move to the newly completely Performing Arts Center on the Sage Creek High School campus for the 2018/19 school year. Both the Cultural Arts Center and Performing Arts Center will not be available for rentals from July 2, 2018 – August 26, 2018.

Grounds & Athletic Field Rentals

Athletic fields located at Aviara Middle, Buena Vista Elementary, Hope Elementary, Jefferson Elementary, Kelly Elementary, Magnolia Elementary and Valley Middle, school-related activities shall be given priority in the use of facilities and grounds and then the City of Carlsbad Parks & Recreation Department. Thereafter, the use shall be on a first-come, first-served basis of complete requests. What happens after your submit your request

The application is first reviewed by the school site, which will determine if the facilities requested are available but will remain inactive on the calendar. After the school site has provided an initial approval of the request, the request will be routed to the District for final approval prior to the requested date. The District will then collect payment, Certificate of Insurance with an endorsement page listing the District as additionally insured for the scheduled event. Once payment and insurance are received at District, the scheduled event is routed to the Director of Facilities and Construction Management for final approval and is activated on the calendar. Rentals require custodial services and are subject to additional fees.

 

You must have final approval and an activated Facility Use Permit-(FS Schedule ID#) from the District prior to the scheduled event. All user groups shall have a copy of the activated Facility Use Permit (email) to gain entry to the facility and onsite during the event. It is the responsibility of the user group to confirm approval prior to use.  

 

What is the CUSD Board approved Schedule of Fees and Rental Group Categories

New Facility Use Fees were implemented April 1, 2016. Please check the DOCUMENTS tab for more information. Custodial fees (when required) will be charged at a minimum of thirty (30) minutes prior to and thirty (30) minutes after each event. Additional Custodial fees could be assessed based on the event details. If your event runs over the approved time, you will be subject to additional fees. Facility Use Denial

Facility use will not be permitted to persons or groups who abuse the Facility Use process. The District Superintendent, or his official designee, is the final decision-maker on whether a person or group is allowed to use District facilities.
